Explaining the Calendar Sync Option

Updated over 6 months ago

For Group calendar

After integrating your Google account, we have updated the sync option, which can now be found on the Settings -> Profile page. To connect with your Google account, log in as the user and navigate to the Settings -> Integrations page. Once connected, you can establish the connection to your Google account under the Profile tab in the Calendar Configuration section.

Regarding the sync option itself, it functions similarly to the previous version. Enabling the "Allow Contact Creation" option means that we will generate contact and appointment for the guests identified in the Google events.

If you prefer not to create a contact, select the "Select Default Calendar" option and save your settings.

Once you have chosen the default calendar, the "Allow Trigger" option will become available. This option determines whether the appointment triggers or customer-booked appointment triggers will be activated for the contact we created, enabling the lead to be added to the appointment reminder campaigns.

For unassigned calendar

Regardless of the chosen sync option, all appointments will continue to be pushed to the linked Google calendar.

In the case of two-way sync and disabled trigger, the guests listed in the Google events will be pulled and added to the system.

For smart sync, if a guest in the Google events is identified as an existing lead with the same email, they will be added to the system.

Calendar Sync Options:

One way:

In the one-way sync option, events from the Google calendar will be displayed as grey. It will not automatically add the invitees from the Google event to the system. However, it will still synchronize appointments from the system to the Google calendar and prevent any conflicting timeslots pulled from Google.

Two way:

In the two-way sync option, events from the Google calendar will be color-coded and actively communicated with each other. The system will identify the invitees in the Google event, create contact records, and trigger any associated calendar events in the system.

Smart:

In the smart sync option, if an event is created in the Google calendar and the associated contacts do not already exist, it will not add them as contacts. Instead, it will block off the corresponding time slot in your system calendar, displaying the event color as grey.

On the other hand, if an event is created in the Google calendar and the associated contacts are found as existing contacts in the system, It will color-code the event and trigger any associated calendar events.

Disable Trigger:

With the disable trigger option, all Google Calendar event contacts will be imported into the system as new contacts. However, no triggers associated with the system calendar will be activated.
